How to email a PDF that's too large

Last updated: 2 min readOptimize PDF

Email providers cap attachments — about 25 MB on Gmail and 20 MB on Outlook.com, and often just 10 MB on company servers. If your PDF is over the limit, open the Compress PDF tool, add the file, and choose “To target size” to bring it under the cap, then attach the smaller copy. Compression runs in your browser, so a confidential document is never uploaded just to shrink it.

Quick steps

  1. 1Open Compress PDF and add your file.
  2. 2Choose “To target size” and enter a size in KB under your email's limit.
  3. 3Download the smaller PDF and attach it to your email.
  4. 4If it still won't fit, split the PDF and send it in parts.

Know your attachment limit

Gmail and Yahoo allow about 25 MB per message; Outlook.com about 20 MB; Microsoft 365 / Exchange servers are often set by an administrator to 10–35 MB.

Attachments are encoded for transit, which makes them roughly a third larger than the file on disk, so aim comfortably under the stated limit rather than right at it.

Compress to fit the limit

Open Compress PDF, add your file, switch to “To target size,” and enter a number in KB that sits under your email's cap.

PDFER tries progressively stronger settings and gives you the best-looking version that fits. Scans and image-heavy PDFs shrink the most.

When compression isn't enough, split

If a single file still won't fit — or the recipient only needs part of it — use Split to break the PDF into smaller files or to pull out just the pages that matter, and send those.

Frequently asked

What is the maximum PDF size I can email?
It depends on the provider: about 25 MB on Gmail and Yahoo, 20 MB on Outlook.com, and frequently 10 MB on corporate mail servers. The receiving server's limit matters too.
Does compressing a PDF to email it reduce quality?
Light compression is lossless and looks identical. Stronger levels re-render pages as images at a lower resolution, trading some sharpness for a much smaller file.
Can I email a PDF without uploading it to a tool first?
Yes — PDFER compresses and splits the PDF in your browser, so you prepare it locally and only the finished, smaller file goes out as your email attachment.
What if the PDF is still too big after compressing?
Split it into several smaller PDFs and send them across a few emails, or send only the pages the recipient needs.
